Based in Zug, Switzerland, this role offers the opportunity to work at the intersection of fundraising, donor relations and strategic coordination in an international and purpose-driven environment.
What you can contribute
Fundraising & Donor Relations Support
- Support fundraising activities and donor engagement through professional coordination, correspondence and follow-up communication
- Coordinate donor meetings, including scheduling, agendas, briefing notes, background documentation, minutes and follow-up of agreed action points
- Assist in donor stewardship processes and support background research on potential donors, foundations and partners
- Maintain and update CRM systems, donor databases and filing structures, ensuring accurate and timely documentation of interactions, commitments, reporting deadlines and agreements
- Support the preparation, consolidation and proofreading of donor proposals, reports, presentations and other fundraising materials
- Work closely with programme teams, management and the Marketing & Communication department to gather and structure input for donor communication and fundraising documents
- Ensure donor-related data, communication and documentation meet internal quality standards as well as compliance, transparency and data protection requirements
- Maintain clear and up-to-date overviews so that management and the Board of Trustees have access to relevant information at all times
Management & Coordination Support
- Provide reliable administrative and organisational support to management in relation to fundraising priorities, strategic meetings and stakeholder coordination
- Prepare and coordinate internal and external meetings involving donors, partners and senior stakeholders, including agendas, presentations, briefing materials, minutes and follow-up
- Organise and coordinate Board meetings, including documentation, distribution of materials, minute-taking, and follow-up on agreed decisions and actions
- Coordinate travel arrangements for management, donor visits and selected team members
- Support ad hoc administrative, coordination and event-related tasks linked to fundraising and management needs
- Provide flexible support during donor visits, events and special activities
- Provide cover for Office Management during periods of absence, ensuring smooth day-to-day operations
Your Profile
- Highly organised, proactive and resilient personality with a hands-on mindset
- 2–4 years of professional experience in administration, fundraising support, donor relations, or a comparable role
- Strong interest in fundraising, donor engagement and external communication
- Excellent organisational skills and a high level of attention to detail
- Ability to manage multiple priorities, anticipate needs and work reliably under time pressure
- Professional, discreet and confident in dealing with donors and senior stakeholders
- Strong sense of diplomacy, reliability and service orientation
- Excellent written and spoken English and German. Spanish would be considered as an advantage.
- Very good command of Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience with CRM systems, donor databases or structured data management is a strong advantage
- Ability to prepare professional presentations and written communication to a high standard
- Basic understanding of communication, marketing or donor engagement processes is an asset
- Highly trustworthy, with the ability to handle confidential information with absolute discretion and professionalism
- Swiss / EU passport or valid Swiss work permit
